Interlibrary Loan Help


General Information

Interlibrary Loan (ILL) is a service through which biomedical books or journal articles not owned by the School of Medicine Library may be obtained from other libraries or commercial document suppliers. We can usually obtain journal articles within one to three business days. Other materials such as books generally take longer to allow for mail time.

Before requesting items, please check our Library Catalog and our Electronic Journals page to see if the Library already owns the materials you need. If you need assistance, please contact the Reference Desk at 216-3213 or submit your questions using our Ask A Librarian form.

If you are a School of Medicine user, please use the ILL Express! System to place all ILL requests.

*There is a limit of 10 active article requests at any given time for SOM faculty, staff and students.  The system will provide an alert once the limit has been reached.  Additional requests may be made once active requests have been filled. If you have a critical RUSH request and you have already reached the 10-request limit, contact the Interlibrary Loan staff at 803-216-3212 or ill@uscmed.sc.edu.


Copyright and Fair Use:

  • In accordance with federal copyright law, you must place a separate request for each item you need, even if the journal articles you need are on sequential pages in the same issue.

Help with ILL Express!

ILL Express! Is the system for placing and tracking Interlibrary Loan (ILL) requests at the USC School of Medicine Library. This service is available to School of Medicine faculty, students, and staff. Non-USC healthcare practitioners, individuals and organizations in South Carolina may also use this service.

First Time Users

  • First time users must enter their customer information before they can logon to ILL Express!
  • From the Interlibrary Home Page select First-Time Users to take you to a registration page for first time users. (If you have already used ILL Express! please do not logon as a First Time User again. ILL staff can reset your password or remind you of your username if you have forgotten them.)
  • A New User Registration Form will appear. Enter as much information as possible. Please be sure to fill out the required fields (these are noted in red).
  • If you want someone else to be authorized to pick up your Interlibrary Loan material, make sure you put the appropriate information in the Authorized Users field.
  • Choose a username. We do not recommend using your social security number as a username.
  • Choose a password. Make it something you can remember. Please remember your username and password are case sensitive.
  • After entering your user information press the "Submit Information" button at the bottom of the page.
  • If an error has been made, an error message will appear at the top of the page. If necessary, fix the needed fields and press the "Submit Information" button again.
  • The Main Menu will then appear.
  • You should now be able to use ILL Express! The next time you want to use ILL Express! you should proceed directly to the logon page. Please do not logon as a First Time User again. ILL staff can reset your password or remind you of your username if you have forgotten them. Once you are registered you will need to enter only your username and password to use ILL Express! Please remember that your username and password are case sensitive.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Designating an Authorized User

You may designate an Authorized User, who will be allowed to pick up interlibrary loan material for you. From the ILL Express! Main Menu, click on the Change User Information button, near the bottom of the menu. Add the name of the person you would like to designate as an authorized user and click on the Submit Information button at the bottom of the screen. This person's name will now show up on your documentation and he/she will be allowed to pick up material for you.

Requesting a Book (Loan)

Please check the Library Catalog to be certain that the material you need is not already held by the School of Medicine Library.
  • Logon to ILL Express! using your username and password. The Main Menu for ILL Express! will open.
  • Press the "Request a Book" button to open a request form.
  • Enter as much information about the item you are requesting as possible. Title is a required field. The more information given, especially the ISSN/ISBN number, the faster the searching process will be for the Interlibrary Loan staff, therefore speeding the arrival of your request.
  • If you have additional information, enter it in the notes field.
  • After entering all the information, press the button "Submit Request". If you have made a mistake, simply edit the field in question. If you have already submitted the request see Editing a Request, later on this page.
  • The Main Menu will then reappear.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Requesting a Photocopy (Article)

Please check the Library Catalog to be certain that the material you need is not already held by the School of Medicine Library.
  • Logon to ILL Express! using your username and password. The Main Menu for ILL Express! will open.
  • Press the button "Request a Photocopy" to open a request form.
  • Enter as much information about the item you are requesting as possible. Title of Larger Work is a required field. The more information given, especially the Medline Unique Identifier (UI) or PubMed Identifier (PMID), the faster the searching process will be for the Interlibrary Loan staff, therefore speeding the arrival of your request.
  • If you have additional information, enter it in the Notes field.
  • After entering all the information, press the "Submit Request" button. If you have made a mistake, simply edit the field in question. If you have already submitted the request see Editing a Request, later on this page.
  • The Main Menu will then reappear.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.
Please remember to submit a separate request for each item.

View/Modify Outstanding Requests

  • Outstanding Requests are requests still being processed by the Interlibrary Loan Office. They do not include items that are checked out, cancelled, or articles that you have already received.
  • Logon to ILL Express! using your username and password.
  • From the Main Menu, press the "View/Modify Outstanding Requests" button. Select the transaction number button for the request to display a detailed information page.
  • From here you may edit the request by changing the existing information or providing additional information. See Editing a Request, later on this page.
  • You may also check the status of a request by selecting the transaction number button and scrolling to the bottom of the page.
  • Press the "Exit to Main Menu" button to continue using ILL Express!.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Renewing an Item

  • Logon to ILL Express! using your username and password.
  • From the Main Menu, press the "View/Renew Checked Out Items" button to display everything checked out to your username.
  • Select the item that you wish to renew by pressing the transaction number button to the left. You will then see detailed information about that request.
  • Check to see if renewals are allowed (there is a question towards the bottom of the page "Renewals Allowed"). If renewals are allowed, press the "Request Renewal" button at the top right-hand corner of the screen. If renewals are not allowed, please return the book as soon as possible to prevent receiving overdue letters. Keep in mind that the system will not allow you to renew an item until five days or less before the original due date.
  • After renewing a request, you will be notified that "This item has been renewed."
  • Once the item has been renewed the due date will reflect the new due date.
  • Then press the "Return to the List" button, where you may view/renew other items checked out to your username. You may also choose the "Exit to Main Menu" button.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Editing a Request

  • Logon to ILL Express! using your username and password.
  • Press the "View/Modify Outstanding Requests" button to display your active requests.
  • Select the request you wish to edit by pressing the transaction number button at the left of the page. You will then see detailed information about that request.
  • The request can be edited as long as the status of the request has not reached the status of "Request Sent" (this can be determined by checking the status of the item at the bottom of the page.
  • Press the "Edit Request" button at the top right-hand corner of the page to open the request form. To edit the request, enter the additional information in the appropriate fields.
  • Press the "Submit Request" button at the bottom of the page.
  • The Main Menu will then reappear displaying a message confirming that your request has been updated successfully.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Cancelling a Request

  • Logon to ILL Express! using your username and password.
  • Press the "View/Modify Outstanding Requests" button to display your active requests.
  • Select the request that you wish to cancel by pressing the transaction number button at the left of the page. You will then see detailed information about that request.
  • Press the "Cancel Request" button in the top right-hand corner of the page. This will automatically cancel the request.
  • The Main Menu will then reappear displaying a message confirming the cancellation of your request.
  • You can resubmit cancelled requests by selecting the "View/Resubmit Cancelled Requests" button.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Changing a Password

  • Logon to ILL Express! using your current username and password ("ill" if your password has been reset by an Interlibrary Loan staff member).
  • From the Main Menu, scroll down the page and click on the "Change Password" button.
  • Enter your current password ("ill" if your password has been reset by an Interlibrary Loan staff member) and your new password.
  • Press the "Submit Information" button.
  • The Main Menu will then reappear displaying a message confirming that your password has been successfully changed.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.
Remember: Passwords are case sensitive.

Changing Your User Information

You can change the following information by choosing "Change User Information" from the Main Menu:
  • Name
  • Preferred Notification Method
  • E-Mail Address
  • Daytime Phone
  • Preferred Photocopy Delivery Method
  • Electronic Delivery if Possible
  • Campus Address
  • Local/Home Address
  • Department or Academic Major
  • Authorized Users (other people who can pick up your materials)
To change your user information:
  • Logon to the ILL Express! system using your username and password.
  • From the Main Menu select the "Change User Information" button.
  • Edit the fields you would like to change.
  • Press the "Submit Information" button.
  • The Main Menu will then reappear.
  • When you are finished using ILL Express! please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Electronic Delivery

We can electronically deliver articles that are sent to us in an electronic format. We post these articles in PDF format on your ILL Express! account. From there you can access these articles for 30 days.

How to sign up for electronic delivery:
  • Logon to ILL Express! using your username and password.
  • From the Main Menu, press the "Change User Information" button toward the bottom of the page.
  • Answer "Yes" to the question "Electronic Delivery if Possible (via web through ILL Express!)."
  • When you are finished using ILL Express!, please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.
How to view/print electronically delivered articles.
  • Logon to ILL Express! using your username and password.
  • Press the "View/Download Electronically Received Articles" button. This will display all the requests that you have available via electronic delivery.
  • You will need Adobe Acrobat and Internet Explorer or Netscape to view your articles. You may have problems reading the files if you are using Netscape version 4.5, but earlier or later versions should work fine. To download Adobe Acrobat for free, visit the Adobe Download Page. To download the latest version of Netscape for free, visit the Netscape Download Page.
  • Select the request you wish to view/print by pressing the appropriate transaction number button at the left of the page. Adobe Acrobat will open automatically and display the selected article.
  • Within Adobe Acrobat, you may read or print the article. Directions for saving to a disk or your hard drive are below.
  • After you have read or printed the article, click on the Delete button. This will remove the article from your outstanding requests list, but the article will remain available on the ILL Express! server for 30 days. Call the ILL Department if you would like to reinstate the article after deleting it.
  • When you are finished using ILL Express!, please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.
How to save electronically delivered articles.
  • Logon on to ILL Express! using your username and password.
  • Press the "View/Download Electronically Delivered Articles" button. This will display all the requests that you have available via electronic delivery.
  • Find the request you want to save. Right click on the transaction number button of the request.
  • If you are using Internet Explorer as your browser, choose "Save Target As." If you are using Netscape as your browser, choose "Save Link As."
  • Specify where you want the articles saved and name the file.
  • After saving the article, you may now view it using Adobe Acrobat.
  • After you have saved the article, click on the Delete button. This will remove the article from your outstanding requests list, but the article will remain available on the ILL Express! server for 30 days. Call the ILL Department if you would like to reinstate the article after deleting it.
  • When you are finished using ILL Express!, please exit by pressing the button labeled "Exit ILL Express!" at the top of the Main Menu.
  • If you are using a public access workstation, you should clear your Web browser's history file and exit from the browser.

Explanation of Statuses

ILL Express! uses various statuses to track Interlibrary Loan requests. These statuses, listed below, may be used to pinpoint the exact location of any given item at any given time. Please note that these statuses reflect the actions of the requesting customer as well as those of the ILL staff.



Awaiting Copyright Clearance

This article request has been submitted by the customer and it is awaiting copyright processing to determine if any copyright fees need to be paid. These fees, if required, are paid by the library, not the requesting customer.

Awaiting ALA Processing

This item cannot be requested via OCLC, the worldwide electronic database through which we place most of our requests. It will now be processed as an ALA (American Library Association) request - or a paper request as opposed to an electronic request - and sent via fax to a potential lender.

Awaiting Customer Contact

This requested item has arrived and has been processed by the ILL staff, but we have not yet contacted the customer to inform him/her that it has arrived.

Awaiting Doc Provider Processing

This article request has been submitted by the customer. It has been determined in the copyright clearance process that copyright fees must be paid and the only method available to do so is through a commercial document provider. The item will be requested from a document provider.

Awaiting Faculty Express Processing

This requested item has been submitted by the customer as a Faculty Express request and is awaiting processing by one of the ILL Librarians.

Awaiting Other Request Processing

This requested item has been submitted by the customer and has gone through the copyright clearance process, if necessary. It is now ready to be searched and requested from potential lenders.

Awaiting Post Receipt Processing

This requested item has arrived, but has not yet been fully processed by the ILL staff. Awaiting Request Processing

This requested item has been submitted by the customer and has gone through the copyright clearance process, if necessary. It is now ready to be searched by ILL staff and requested from potential lenders.

Awaiting Return Label Processing

This item has been returned to the ILL office by the customer. It is currently awaiting a return label so that it can be returned to the lender.

Cancelled By Customer

The customer has cancelled this request and no longer requires the requested item. Cancelled By ILL Staff

This request has been cancelled by the ILL staff. The reason for this cancellation may be found in ILL Express! by pushing the "View/Resubmit Cancelled Requests" button and looking at the detailed information for the cancelled item.

Note: If a request is cancelled by the ILL staff, ILL Express! immediately sends an e-mail message explaining why the item was cancelled.

Checked Out to Customer

The requested item has arrived, has been processed by the ILL staff, and has been checked out by the customer or by one of his/her proxies. The customer is responsible for the item until it has been returned to the ILL Department.

Customer Notified via E-Mail

The requested item has arrived, has been processed by the ILL staff, and the customer has been notified of its availability via E-Mail. This status reflects the customer's preferred notification method (E-Mail) as entered in his/her personal information page.

Customer Notified via Mail

The requested item has arrived, has been processed by the ILL staff, and the customer has been notified of its availability via mail. This status reflects the customer's preferred notification method (Mail) as entered in his/her personal information page.

Customer Removed from System

This customer has been deleted from the ILL Express! system. Reasons for this may include ineligible status, duplicate customer records, or disciplinary action for abuse of ILL.

Delivered to Web

The requested item has arrived, has been processed by the ILL staff, and has been posted to the requesting customer's personal ILL Express! page, where it may be viewed and/or downloaded electronically via Adobe Acrobat.

In Print Queue

The requested item has arrived and has been partially processed by the ILL staff. It is currently awaiting the printing of its ILL identification label.

In Return Address Print Queue

The item has been returned to the ILL office by the customer. It has been checked in and is awaiting the printing of its return address label.

Incorrect Item Received and Returned

An item was received that does not match the item that was requested. It has been returned to the lender and the original item is being re-requested.

Item Checked In

The item has been returned to the ILL office by the customer and the item has been checked in. It is now ready for return processing.

Item Returned

The item has been returned to the lender.

Received Incorrect/Partial Item

This item was received but does not match the item that was requested or it is incomplete. The ILL staff will determine the quickest means to correct this.

Request Finished

The entire request process has been completed successfully. Requests with this status are archived under the "View Request History" button.

Note: Cancelled requests are not at "Request Finished" status and thus do not display under "View Request History". Cancelled requests may be found under the "View/Resubmit Cancelled Requests" button.

Request Held Until...

This status is used to hold a request for later processing. This is used mostly in December when Interlibrary Loan services cease over the holidays. Requests are held until they can be processed in January of the following year. This status may also be used to hold difficult requests until we receive more information.

Request In Processing

This request is being processed at this moment.

Request Sent

This request has been sent to several owning libraries and ILL is waiting for a response.

Submitted by Customer

This request has been submitted by the customer and is awaiting processing by the ILL staff.
