Reference Services:

Reference librarians are available from 8:00 a.m. to 5:00 p.m., Monday - Friday, to assist faculty, staff and students of the School of Medicine and local health care practitioners. Requests are accepted online, by mail, by telephone to (803) 733-3361, or on a walk-in basis. They should come directly from the person requesting the service whenever possible. Experience has proven that direct communication between the requestor and the librarian gives the most efficient and satisfactory results.

Information services offered include those in the following categories:

  • Answers to factual questions where no interpretation of information is required.
  • Assistance in locating materials through the use of the online catalog (Scarlit), the list of print periodicals held by Columbia area health science libraries, and the e-journals web page.
  • Assistance in identifying authoritative web sites with quality content.
  • Instruction in the use of local databases.
  • Computerized bibliographic search services.
  • Assistance in verification of citations for bibliographies and for interlibrary loan requests.
  • Help in determining availability of translations of foreign language materials.
  • Assistance in the use of the audio-visual collection and equipment.
  • Bibliographic assistance in locating and acquiring audio-visual materials.
  • Orientation tours for individuals and groups; class presentations.
  • Brief manual bibliographic searches.

Circulation

Faculty members of the University of South Carolina, staff members and students in the School of Medicine, and local health care practitioners may borrow materials from the School of Medicine Library. Circulation records can be checked on SCarlit by clicking on the "Your Circulation Information" option.

Other students currently enrolled at the University of South Carolina may be extended circulation privileges on an individual basis.

Materials that may be borrowed:

  • JOURNALS - for one day (date-to-date). No journal issue circulates for the first 30 days after receipt unless it is not the most recent issue, as in the case of weeklies.
  • BOOKS and CONTINUATIONS - for two weeks.
  • RESERVE MATERIALS - overnight, from one hour before closing to one hour after opening the next day.
INDEXES, ABSTRACTS, and REFERENCE BOOKS do not circulate.

Journals, books, and continuations may be renewed if another person has not requested the material. Renewals are accepted by telephone (733-3344), in person, or by e-mail sent to renew@med.sc.edu.

A "HOLD" may be placed on materials that are checked out.

When the material is returned to the library, the person placing the request will be notified and the material will remain at the circulation desk for three days from the date of notification. If the material is not checked out during this time, it will be returned to the collection.

Reserve Materials

The purpose of placing materials on reserve is to ensure availability. Any faculty member of the School of Medicine may place material on reserve each semester for student use. This should be done at least two weeks before the material is to be made available. Materials will be removed from reserve at the end of each semester unless otherwise specified.

Overdue Materials

  1. Fines for overdue journals, books, and continuations: When library material is overdue, an overdue notice will be sent. If the material is not returned to the library within seven days from the date on the notice, a fine of $.25 a day will be charged and a second notice is sent. The maximum fine for any overdue item is $5.25 (this maximum fine does not apply to charges for "lost/damaged books").
  2. Fines for reserve materials: $.25 per half hour.
  3. Borrowers are responsible for the cost of replacement of any lost or damaged item.
  4. A receipt will be given to the person paying a fine or the cost of lost material.

NOTE: Circulation policies apply equally to all users; privileges may be withdrawn upon failure to adhere to these policies.

Copying Services

A self-service copying machine is located on each floor of the School of Medicine Library. Coin-operated cash copies are available at a rate of $.10 each. Debit cards are available which require the purchase of a $.50 reusable card and will provide a copy for $.075. Cards may be purchased at the circulation desk in $5 or $10 amounts, or purchased and value added from a vending machine in the library which accepts $1, $5, $10, or $20 bills.

Faculty of the University of South Carolina may be billed monthly for photocopies by obtaining a credit card specifically linked to a departmental, grant, or special account. The issue of a credit card requires a signed letter of authorization from the appropriate Department Chair or Principal Investigator for grant charges.

Departments, grants, etc., will be charged $.075 a copy.

As an alternative to the patron doing the photocopying the library offers this service for a fee. For details about this service, see the section on Interlibrary Loans.

Computerized Bibliographic Search Service

The School of Medicine Library will provide bibliographic searches in the numerous databases to which it has access, with the primary ones being MEDLINE and other MEDLARS files, BIOSIS PREVIEWS (Biological Abstracts), and PsychINFO.

The Library provides access to OVID MEDLINE, a web-based system containing the complete MEDLINE databases (featuring many full-text articles) from 1966 to the present. Several Evidence Based Medicine databases and HAPI, a database of psychological measurement, are also available through OVID. There is no charge for the use of the OVID files.

Mediated searches performed by a librarian on MEDLINE and other databases on our network are provided free of charge to all University of South Carolina faculty and students and affiliated health care professionals. Others will be charged $10.00 for searches on networked databases and $10.00 plus cost for other databases.

Interlibrary Loans

Requests for academic or clinical materials within the scope of its services but not available in the School of Medicine Library are accepted. A separate form available on the Library website, must be completed as fully and accurately as possible for each book or article requested. To expedite a request, it is especially important to provide a published source of the citation, including the page number. INDEX MEDICUS and MEDLINE are preferred as sources. Verified requests can usually be filled within a week. For items cited in CURRENT CONTENTS, it is suggested that reprints be requested from the author.

As a participant in the Southeastern/Atlantic Regional Medical Library Program, the library is bound by its policies and procedures. University of South Carolina faculty, staff, and students, as well as School of Medicine alumni, will be charged $4.00 per filled request. Health care practitioners are charged $7.00 per request, and all others will be charged $15.00 per filled request.

The loaning of material to the library's clientele by other institutions constitutes a courtesy and a privilege, and the patron must thus adhere to the principles of the national interlibrary loan system. The system was not designed to support extensive research requiring materials not found in our library. Individual abuse of the system will necessitate the establishment of quotas. Further, the library also abides by the Copyright Law of the United States (Title 17 U.S. Code), which governs the making of photocopies of copyrighted materials.

FAX

Upon request, documents can be transmitted for a patron on the Library's telefacsimile equipment. For School of Medicine faculty and students documents can be faxed locally without charges. For long distance transmittal, a nominal charge is assessed for this service.

For example, the non-commercial charge to fax a document within the United States is $5.00 for the first five pages and $1.00 per page thereafter. A $5.00 surcharge is added for international transmissions.

A $5.00 surcharge is added for Interlibrary Loan requests via fax.

Online Catalog and Periodicals Lists

The Library maintains an online catalog, SCarlit, which lists all its textbook, audiovisual, and periodical holdings. The book and AV holdings of the majority of the health science libraries in South Carolina are also included in SCarlit. The Medical University of South Carolina's Catalog, MUSCLS, is also available on SCarlit's menu as a separate option.

The online catalog provides access to the bibliographic records through a variety of different means, including keyword, author, title, and subject.

Information about electronic journals available to USC-SOM Library patrons can also be found on the Library's web page by clicking on E-Journals.

From workstations within the Library you may also access the online catalog (USCAN) of the other University of South Carolina libraries, as well as the National Library of Medicine's catalog (LOCATORplus).

Recommending Material

To recommend books or journals to be purchased by the School of Medicine Library, go to the Library's services page and click on the Request Forms link. On the Request Forms page, click on the "Online Suggestion Box " to send an email to the Library. You can also click on "Library Catalog" on the SOM Library's web page and go to the front screen of SCarlit. On the lower left there is a link: "Book Recommendations." Please fill the form out as completely as possible. Alternatively, you can complete a USC School of Medicine Library Materials Request Form (pads of these forms are available upon request at the Circulation Desk) or on SCarlit's front page ("Suggestions for the Library"). After the requested material arrives and is processed, requestors will be notified that items are "Ready for Circulation."

Extension Services

The School of Medicine Library provides the following services to health care practitioners as defined in the CIRCULATION POLICIES section of this guide: basic reference, MEDLINE and other bibliographic retrieval, and interlibrary loan. Fees for these services are covered in the appropriate sections of this guide. The health care practitioner not having access to a medical or hospital library may call the School of Medicine directly. The number is 803-733-3344. Additionally, the Library participates in the National Library of Medicine's Loansome Doc program for Interlibrary Loan. Contact the Library for information and applications.

Telephone

There are three phones available for outgoing calls. Dial "9" and the desired number.

One phone is located in the stairwell of the library and two are on second floor near the stairwell walls. The telephone at the circulation desk of the library is a central answering station and must be kept open for all incoming calls. In the case of an emergency, permission may be granted to use an inside office phone.

The library does not operate a paging system; however, if a patron alerts the circulation desk and sits in a designated area within the library, he or she will be notified of messages.

Lounge/Rest Rooms

A lounge is located in the basement of the Library Building. Rest rooms are located on all floors.

Food and beverages are allowed in the Library, preferably in spill-proof containers. To discourage insects that can damage library materials, please remove all unsealed food containers after use and dispose of them properly.

Cans and bottles should be placed in the recycling containers found throughout the Library.
